In Australia tax invoices are usually issued by the supplier or seller. However Australian Taxation Office also allows the purchaser or recipient of the goods or services to issue tax invoice for the purchases, knowns as recipient-created tax invoices (RCTI).
At InvoicingTemplate.com we've already published a serial of Excel invoice templates according to Australian Taxation Office requirements, including ABN Tax Invoice Template, Australian GST Invoice Template and Australian GST Invoice Template (2). Unlike the samples provided by Australian Taxation Office, our invoice templates are provided in both Excel and PDF formats. And of course, the Excel versions works with Invoice Manager for Excel, which is our Excel-based invoicing software app that combines the power of Microsoft Excel with the back end databases in either Access or SQL Server format, providing features that could hardly be found or implemented with pure Excel templates. Invoice Manager for Excel was originally named Excel Invoice Manager, and the first version was released on August 1, 2005. This invoice template for purchaser created tax invoices mimics the fields defined in the Australian Taxation Office pdf sample (NAT 73657), with only one field addition - the "Invoice#", placed above the "Invoice Date" field, as we believe it is a useful field / information for both parties (the seller and the buyer) involved in the transaction. If you have Invoice Manager for Excel installed, the automatic invoice numbering feature is able to generate invoice numbers for you. The invoice generator works when you click the "Save Invoice" command and leave the "Invoice#" field empty. The sequential numbering generator provides several options that you can use to control how it works, including the next start number, the prefix text added to each invoice#, the number of digits in each invoice# (for example, "INV003" has 3 digits in the invoice#). On the upper-side of the invoice form you will find two sections "From Recipient" and "To-Supplier", where you, the buyer and the creator of the RCTI invoice, should provide detailed information about both businesses, both including Australian Business Number (ABN).
The detail section of the form provides 4 columns, Description, Value, GST and Price, exactly like the PDF sample provided by Australian Taxation Office, where "Value" is the total amount of the invoicing item excluding GST, and "Price" equals to "Value" plus "GST". Since this template does not calculates "Value" from "Quantity" and "Unit Price", like what Australian GST Invoice Template and ABN Tax Invoice Template do, we've placed "Quantity" and "Unit Price" outside the printable form (which you can use to do the calculation, but will not be printed). The amount of GST will also be calculated automatically using Excel formulas based on the "Value" and tax rate, which can be set on the "Taxes" tab of the "Settings" window. To open the "Settings" window, click the "Settings" button on the "Invoice" worksheet.
As you can see, while PDF formatted documents has advantages in the business world, on creating invoices Excel formatted invoice template is much easier and saves time by doing automated calculations using formulas. And, with Invoice Manager for Excel, you can simply click the "Extract/Email" button within the Excel spreadsheet to send PDF invoices using email in electronic format.
