If all the products or items you are invoicing are taxable or not taxable, you may like to not show the Taxable column. This simple invoice template demonstrates how to prevent it from printing.
The default invoicing form shipped with Invoice Manager for Excel, and many other customized version that are available here on InvoicingTemplate.com, have the "Taxable" column on the detail section (sometimes called invoice body). This is useful if you need to invoicing both taxable and no-taxable items / products, as the taxable boxes on the form shows whether the amount of the each item is counted on tax calculation clearly.
However, if you have only taxable or non-taxable products, it's wise to prevent the taxable boxes from printing, or even to delete the taxable boxes / controls completely.
This simple invoicing template shows you how to create a billing format that exclude the taxable boxes from the printable form. This sample is based on the result of c5075 Simple Invoice Template - Moving Balance and Payment Cells. The customized template created in this tutorial could be downloaded for free from here on InvoicingTemplate.com.
The idea to exclude the taxable boxes from printing is to move the controls out of the printable invoicing form which is identified by the special Excel range name "Print_Area". To find out what area on your template is defined as the print area, pull down the name list that is located on the left side of the formula bar, and on the bottom of the name list choose "Print_Area". Excel selects the area defined as the printable form on the current worksheet. You may need to switch the worksheet in to design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab if the worksheet is protected.
Now let's see how to move the Taxable controls. There are in fact two forms of taxable controls implemented in the templates available here on InvoicingTemplate.com. Some of them are implemented as ActiveX controls, and some of them are implemented as Office form controls. No matter what the control types are, the steps required to move the controls are the same, as detailed below.
- First of all, back up your template. It is always recommended to back up the template before modifying the layout and format. This way, you could easily return to a working state in case something goes wrong during customization.
- Now click to push down the "Design Mode" button on the "Invoice" ribbon tab. This switch the spreadsheet into design mode, showing gridlines and column / row headings, unprotecting the sheet, as well as push down the "Design" button on Excel "Developer" ribbon tab (The "Developer" ribbon tab is not visible by default).
- Now push down the CTRL key on your keyboard. Without releasing the CTRL key, click the taxable boxes one by one with your mouse. This select the taxable controls that you click.
- Once all the taxable boxes are selected, release the keyboard CTRL key.
- Click and drag one of the taxable box. Drop it outside the printable area - in this sample, we put it on $C10. By dragging and dropping one of the selected controls, all the selected controls are moved to the new location.
- If you want to delete the controls completely, with all the controls still selected, hit DEL key on your keyboard. If you want to leave them there, skip this step.
- You can also modify the formulas of the tax fields to have them ignore the value of the taxable boxes completely. If all your products or items are always taxable, modify the formula of the first tax cell to " =ROUND( IF ( oknTaxType =0 ,0, oknTax1Rate * ( oknSubTotal + IF( oknTaxTotalIncludingShippingCost =0,0, oknShippingCost ))),2)"; and modify the formula of the second tax cell to " =ROUND ( IF( oknTaxType <> 2,0, oknTax2Rate * ( oknSubTotal + IF ( oknTaxTotalIncludingShippingCost = 0,0, oknShippingCost )+IF( oknTax2IsAppliedToTax1= 0 ,0, oknTax1 ))),2) ". If all your products / items are not taxable, simply choose "No-tax" from the "Taxes" page of the Settings dialog box that could be opened by clicking the "Settings" button on the "Invoice" ribbon tab.
- Now modify the column heading of the original "#/Taxable" column. To do this, simply replace the text "#/Taxable" with something like "Item#" or simply "#".
- Exit design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab again.
- Once done, save the template by clicking the Save button on Excel quick access toolbar.
If your business don't have the need to show taxable boxes, moving it outside the printable form or deleting it could simplify the form greatly. The simple invoice template created in this tutorial shows you how to archive this.
