So you want your invoices stand out from the generic, like your business? It is actually easy with Excel and Invoice Manager for Excel. With this sample we create a free simple invoice template that uses shapes.
Whether you are running your business as freelancer, a home business, a corporate small business, you can have your invoices differ from others and give your customer and client good impression that you are paying attention to every detail of your business, including invoicing. Shapes and images are the easy and effective way to make a difference on your business documents likes invoices.
With simple invoice template, we take a look at how to add a shape to the invoice form. Although many template here on InvoicingTemplate.com do use shapes, like the horizontal line (bar) above the "Bill To" and "Ship To" section, in this tutorial we'll uncover the detailed steps and procedures involved to add a shape, including the key points to make it work with Invoice Manager for Excel, which is our invoicing software app that uses Microsoft Excel as the front-end, and by using a COM-Adin program, connect the template with a backend database to provide powerful features like searching and manipulating customers, items, invoices and payments.
In this sample, we use the template built in c4051 Simple Invoice Template - Discount Amount Field as a starting point, and add a Frame shape to the existing invoicing format to create a completely new look and feel of the form. See screen shots of the new template below.
- Backup your template. In this sample, we just customize the format of the invoice template, and will not touch the background database. So backing up the database is not necessary.
- Open the template.
- Switch to design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab. This ribbon tab is created by Invoice Manager for Excel, and it appears whenever you open a template that is supported by Invoice Manager for Excel.
- Add a blank new row to the top and bottom of the printable invoicing form, respectively. In this sample, we insert R2 and R50 to the form. To add a new row, right-click on row heading above which you want to add a new row (for example, row 2) and then choose "Insert" from the shortcut menu.
Add a blank new column to the left and right of the printable invoicing form, respectively. In this sample, we insert column D and column M columns to the form. To add a new column, right-click a column heading (for example, column D) and then choose "Insert" from the shortcut menu.
The newly inserted 2 rows and 2 columns will be used to place the Frame shape that we'll add shortly.
- Adjust the heights of 2 new rows (row 2 and row 50), adjust the widths of 2 new columns, so that we are suitable for the size of the frame box.
- Redefine the print area to include the newly added rows and columns. To do this, drag your mouse to select all the cells (in this example, $D$2:$M$50). Go to the "Page Layout" ribbon tab, choose "Print Area" and then "Set Print Area".
- Go to Excel "View" ribbon tab. Click "Page Break Preview". Make the new the redefined form can be printed on a single page on the paper size you choose. If not, adjust column widths and row heights as necessary. Once done, click the "Normal" button in the "Workbook Views" group on the "View" ribbon tab to return the worksheet into normal view.
- Now switch to Excel "Insert" ribbon tab. From "Illustration" group click Shapes, from the "Basic Shapes" list click the icon of the Frame shape.
- Click the invoice form. Excel adds a small shape object to it, with solid color filled as default.
- With the new shape object selected, drag the border of the new shape object to size. In this sample, we resize the frame object so that it is placed on the newly inserted rows and columns, to surround the entire original invoicing form (Download the template and have a look to get a better understanding).
Click and drag the yellow flag on the shape object to adjust the size of the frame borders.
- By default, the new shape is filled with solid colors. To change this, go to the "Format" ribbon tab (which is shown only when the shape object is selected), click "Shape Fill" in the "Shape Styles" group. Next choose the fill you want to use. In this example, we choose "Texture" and then "denim".
- You can also adjust the shape outline easily. To do this, click "Shape Outline" from the "Shape Styles" group. With this sample, we choose a color that matches the "denim" fill, instead of using the default "black" outline color.
- Play with the "Format Tools" of the Drawing Tools and Picture Tools ribbons. You may find many other options to use. With just a few clicks, you can create a completely different look and feel of your invoicing format!
- Once you have done the customization, click the "Design Mode" button on the "Invoice" ribbon tab to exit design mode.
- Save the template by clicking the "Save" button on Excel quick access toolbar.
